This page provides the Personal Data Protection Terms of the International Solar Energy Society (ISES) and the Brazilian Solar Energy Association (ABENS), hereinafter referred to as “Organizers”, exclusively for the Solar World Congress 2025, hereinafter referred to as “SWC 2025”.

Our intention is to establish the rules for the processing of personal data with the utmost transparency, in accordance with the Laws on the Protection of Personal Data and the Organizers’ Privacy Policy:

Nature of the data to be processed: Personal data provided by the user and/or automatically collected.

Purpose of personal data processing: Holding of the SWC 2025 for the discussion of topics related to solar energy, the organization of the event, and the registration of participants, whether to attend only or to present scientific work.

Legal bases used: i) Performance of contracts; and ii) Consent.

Sharing: Operators and essential service providers for the realization of the SWC 2025.

Data protection: Preventive measures that aim to offer the highest possible security and confidentiality for your data, observing legal principles, technological capacity, and technical and administrative processes.

Data subjects' rights: To confirm existence, access, review, rectify, and/or request an electronic copy of their personal data, request details about its origin or sharing with third parties; limit the use and disclosure of their personal data; revoke consent when applicable; among others, under the law and as defined in this Privacy Policy.

 

DATA USED

While browsing the SWC 2025 website and the User Area, the organizers may collect identification data and information for registration purposes, according to the intended purpose, as exemplified below:

  • Contact information: includes any type of contact data, including, but not limited to, name, residential address, and email address.
  • Login information: includes information to identify and authenticate on the User Area, including your registration name (login) and password.
  • Demographic information: includes demographic data, including, but not limited to, date of birth and gender.
  • Technical information: includes information about your computing devices or mobile devices, such as: IP address logs used to connect your computer or device to the internet, including your geographic location, operating system type, and web browser.
  • Information about site navigation and services: includes information about the pages and content of the website and other statistical information about your interactions, such as response times to content, access duration, service availability, etc.
  • Payment information: for any services requiring payment provided on the SWC 2025 website, particularly on the user Area, payment data is collected to process it in accordance with applicable laws, regulations, and security standards for service delivery. Payment information will NOT be stored in our database, though. Credit/debit card information will be directed to a third-party payment service provider, and in this case no payment data will be collected by the Organizers.

 

DATA SHARING

The Organizers share personal data according to the operation of its information technology systems and services. Data sharing is carried out in compliance with contractual, legal, or regulatory obligations, with public or private organizations, according to the purposes permitted by the relevant legislation, while safeguarding personal data protection principles. The personal data of the participants will not be given to a third party not related to the SWC 2025.

The Organizers may only share personal data under the following conditions:

  • To third-party companies, when necessary for the adequate provision of services related to the SWC 2025, aiming at their purpose, security, adequacy, and data minimization;
  • For enforcement of rules or regulations;
  • To protect the organizers’ interests in any type of conflict;
  • By court order or request of competent authorities.

The email addresses will be used by the Organizers to circulate the conference newsletter, last minute details and announcements of future conferences and will be handed on to the organizer of the next Solar World Congress.

 

COOKIE POLICY

Cookies are data that the website requests your browser to store on your computer or mobile device. Cookies allow the website to optimize your navigation by storing information about your browsing flow.

By accessing the content of the SWC 2025 website and User Area, cookies will be collected. We only use essential and analytical cookies strictly to improve the use and functionality of the SWC 2025 website and User Area and to anonymously analyze access profiles.

Therefore, the use of cookies on the SWC 2025 website and User Area has the following purposes:

  • To allow navigation on the site and the use of its applications, such as accessing secure areas of the site through login;
  • To monitor visitor behavior on the site's pages (access times, navigated pages, duration of stay, users in real-time) and generate metrics on devices used, access regions, languages, among others. The information is fully anonymized;
  • To identify problems and provide a better browsing experience.

To achieve these purposes, the following types of cookies are used:

  • Session cookies: temporary cookies that are deleted when the user closes their browser;
  • Persistent cookies: cookies that remain in your browser until you manually delete them or until your browser deletes them according to the period established by the cookie.

Most browsers allow users to set rules to notify them before accepting cookies or to simply reject them. However, if the user refuses the use of cookies, not all site navigation features and services may be accessed.

The SWC website uses Google Analytics and Google Adwords.

 

DATA SECURITY MEASURES

In accordance with the principles of the law and good practices of information security and personal data protection, the Organizers ensure that personal data collected via the SWC 2025 website and User Area is processed in an integral and secure manner, according to information security standards, confidentiality, and integrity for as long as necessary to fulfill the purposes for which they were collected or to comply with applicable legal requirements.

However, it is necessary to clarify that no system is completely secure. As provided by law, existing security measures consider the nature of the data and processing, the risks involved, available technology, and its availability.

The personal data processed by the Organizers is considered confidential and will only be accessed by authorized and trained individuals to provide appropriate processing, according to adequate security measures to protect against unauthorized access, alteration, disclosure, or destruction of collected and stored personal data.

In the event of a security incident involving personal data, the occurrence will be reported to the competent authorities and to the data subject when it involves risk or relevant damage.

 

DATA RETENTION PERIOD

Personal data of users processed by the Organizers will be deleted when:

i) The data subject requests its deletion from our servers and database;

ii) In the course of the information’s useful life, for legal purposes, according to the Organizers’ legitimate interest for its legal protection.

 

DATA SUBJECT RIGHTS

The data subject who uses the SWC 2025 website and the User Area may, at any time and through a specific request, obtain information about the processing of their personal data, and is guaranteed:

  • free, easy, and unrestricted access;
  • to confirm the existence, access, review, rectify, and/or request an electronic copy of their personal data;
  • to request details about the origin or sharing with third parties;
  • to limit the use and disclosure of their personal data;
  • to request anonymization, blocking, deletion, portability, and objection to their personal data;
  • to revoke consent, except for cases provided by law, and to receive information about the consequences of not consenting to the use of their personal data.

The Organizers reserve the right to, after the request is made, require all possible means to confirm the requester’s ownership, ensuring the response as soon as possible.

 

PRIVACY NOTICE CHANGES

This Privacy policy may be changed at any time if necessary. Therefore, it is recommended to check it regularly and verify the date of modification.
